Connecting warehouse transactions with your accounts system
An integration is an agreement about records, direction and responsibility—not just the name of an accounting package. Warehouse Zone supports Sage-format handovers; the Pharmix pharmacy-chain solution also lists invoice export options for Sage 200, Sage 50 and Microsoft Business Central. Confirm applicability, version and mapping for your installation before treating any of these as a ready-made connector.
A connected operational flow
Workflow illustration—not a customer screenshot or live performance data.
- 01
Finalise
Confirm the operational invoice or credit is ready.
- 02
Map
Match customer, tax, product and document references.
- 03
Validate
Review the destination import and rejected records.
- 04
Reconcile
Match document counts and totals before sign-off.
Choose which system owns each record
Agree where customers, products, prices, tax codes, stock and invoices are maintained. The invoice-export workflow described here moves approved operational documents towards accounts; it does not imply bidirectional stock synchronisation, automatic payment imports or coverage of every finance module. List any additional flow separately and decide how conflicts are handled.
- Customer and account-code ownership
- Invoice and credit-note numbering
- Document status that permits export
Make the mapping testable
Use a sample invoice with several lines, a tax treatment relevant to your business, a credit and a rounding difference. Agree required fields, file or API format, validation rules and the exact destination version. Sage 50, Sage 200 and Business Central are different products; a format working for one installation is not evidence that every version or third-party extension is supported.
- Account codes, dates, tax and currency
- Line quantities, unit prices, discounts and totals
- Destination import errors and correction ownership
Treat duplicate prevention and recovery as acceptance criteria
Record which documents were exported and how a rejected import will be corrected. Repeating an export must not silently create a second financial document. Reconcile counts, net values, tax and gross totals in a test company before using production data. Access permissions, retention and any API credential handling belong in the agreed implementation scope.
- Traceable export references and status
- Rejected-record handling and deliberate retries
- Reconciliation signed off by the accounts team
Your practical checklist
- Name your accounting package, version and relevant extensions.
- Provide an anonymised example of the import layout you use.
- Agree the direction and schedule of every data flow.
- Test credits, tax, rounding, rejected records and retries.
- Do not assume real-time, two-way synchronisation unless explicitly scoped.
